This article will guide you through setting up different types of voice messages for your phone numbers. This includes configuring a welcome message for callers during business hours, an after-hours message, and a voicemail system that allows your customers to leave a message for you. This guide is intended for users with permissions to manage phone numbers.
The following instructions apply to the configuration in the Web Portal.
A Welcome Message is an automated greeting a caller hears before the call is routed further. You can set up different messages depending on your business hours.
Log in to the Web Portal.
Navigate to the “Phone Numbers” section in the left-side menu.
Click on the phone number for which you want to set up a message.
In the top bar, click the Call Rules button.
Decide when the message should be played. You can configure it for calls:
within working hours (“What happens when you work?”)
outside of working hours (“What happens when you don’t work?”)
Click the Welcome Message button (for working hours) or the After-hours message button (for outside working hours).
Choose how you want to create the message. Your options are:
Text-to-speech: Type your message, pick a language and a voice, and the system will generate the voice message for you.
Record your voice: Record your own greeting directly using your device's microphone.
Upload a file: Upload an existing audio file from your computer (MP3 or WAV format, up to 16MB).
Before confirming, listen to your message to ensure it sounds correct.
Once the message is set, click the Done button at the bottom of the page to save the settings.
This feature allows callers to leave you a voice message if you are unable to answer the phone. After a message is left, the system automatically provides a transcription and a summary.
Log in to the Web Portal and navigate to the “Phone Numbers” section.
Select the phone number for which you want to activate voicemail.
In the top bar, click the Call Rules button.
Turn on the switch next to Voicemail.
Click the button to configure your voicemail greeting. Just like with the welcome message, you can:
Record your own voice using your microphone.
Upload an existing file from your device (MP3 or WAV).
Use the text-to-speech tool to generate a message from text.
Before confirming, listen to your message to ensure it sounds right.
Click the Done button at the bottom of the page to save your new settings.
After saving your settings, callers to the selected number will hear your configured welcome message or after-hours message. If you have activated voicemail, callers will be able to leave a message when you don't answer. You will then receive an email notification with a transcription and summary of the recording.
1. What file formats can I upload for audio messages, and what is the maximum size?
You can upload files in MP3 or WAV format. The maximum file size is 16 MB.
2. Will I be notified when someone leaves me a voicemail?
Yes, every time someone leaves a message, you will receive an email notification containing a summary and a transcription. Calls with a voicemail will also be specially marked in your call list.
3. Can I set a different welcome message for business hours and after hours?
Yes, you can configure a separate message in the “What happens when you work?” section (welcome message) and another in the “What happens when you don’t work?” section (after-hours message).
